MISSION REPORT TYPE OF FUNCTION: East Coast Comic Con! WHAT WAS OUR ROLE AT THE FUNCTION: Generate excitement for the event, promote the 501st and NER, raise money for the Peter Mayhew Foundation. DATE/LOCATION: Saturday, May 18, 2019 Meadowlands Exposition Center 355 Plaza Drive , Secaucus, NJ 07094 MEMBERS ATTENDING: 1) Bro - X-Wing Pilot 2) Pop Pop - Obi-Wan 3) Lindsay - Rey / Mara Jade 4) Pete - TK 5) Michael - TK 6) Carla - Leia(s) 7) Drache Dave - TK ๐Ÿ˜Ž Eddie - TI 9) Albert - CC 10) Dave - X-Wing Pilot 11) Sebastian - TK/TI 12) RJ - Kylo 13) Citizen John - TI Reserve 14) Elena - Leia / TI Reserve 15) Donny - SL Emperor 16) Ed S - IG 17) BSP Brian - TI 18) Budtakuar Matt - TK 19) Flounder - Jawa 20) Blake - TK 21) Jared - Vader 22) BT Brian - IN 23) Dawn - spotter 24) Taylor - spotter / table 25) Sean - CC THE GOOD: Another great day at a very cool convention. The con is very good to us in regards to complimentary space and member admission, and we in turn provide a fantastic Star Wars experience for the guests. Saturdays are always the "big" day, and we had almost two dozen fantastic members troop! Everyone put in a ton of work and made a million smiles. We had a fantastic variety of costumes and we all dedicated enough time to keep the table area fully staffed and exciting from start to finish. THE BAD: Nothing bad to report, other than what Taylor mentioned in the Friday report that we agreed to accommodate the car guy so our space was more in the middle of the row and as such due to the high attendance caused a little congestion. When all is said and done though, we impressed the organizer and other vendor with our willingness to work with them and that will benefit us in the long run THE CONSTRUCTIVE CRITICISM: Everyone did great and everyone seemed to have fun, but as a note to try and continuously make us better I'm going to list a few things we can consider working on in the future. Again, this is also the purpose of the MR, a way to improve ourselves: 1) Changing area: Saturdays especially we are jam packed. One thing we all can do right off the bat is have some spacial awareness - meaning put your bin as close to the next on as you can. If there are tables, utilize the space underneath. If you have multiple cases or items stack them on your largest bin. If possible, don't leave armor parts lying around on tables or bins as we can use that space for other members putting on costumes and we also don't want anything to fall off or get damaged. 2) If you are not changing or taking your helmet off for a quick break and other people are changing stay out of the room / area until they are done. Same goes with if you are looking to dress down (or dress up) and the room is full, go outside and wait until some people who are already started are done. A few times members were 80% dressed and we'd get 4 other members come in ready to dress down and instead of just leaving and waiting until the others are finished they'd linger causing the members almost dressed to slow to a halt as there was now no more room to maneuver. 3) Try to limit member to member conversations when doing table duty. Our goal during that time is to engage the guests, promote and explain our group and try to raise money. If the general public comes by and is interested (but shy) and sort of looking at the display, and we have members with their backs to the aisle talking to each other we quickly lose the opportunity as the public usually walks away. If you are "off duty" and want to chat just go a little further down, and if you are "on duty" try to concentrate on the con goers not other members 4) Don't be afraid to engage the public. I know not everyone is comfortable approaching strangers or public speaking or engaging and that is perfectly fine. You will never be faulted or looked down upon for that. But if you'd like to get more comfortable, some easy tips are simply to tell someone who stops to look "Feel free to take photos with our props and members, we are volunteers and don't charge anything. Also help yourself to our trading cards and activity books here on the table, and the small items in the buckets are free as well". Most of the other exhibitors charge for photos or interaction, so most of the time they are simply looking to see if we have a sign with a price or whatever. Once they realize we don't they want to engage with us. After they do or after you let them know we don't charge you can say something like: "We accept donations no matter how small and 100% goes directly to the charity, today we are collecting for [state charity]" That's really all it takes and I can almost guarantee the guest will toss in a dollar or so as they really do enjoy and appreciate how much we give away for nothing in return. THE PHOTOS: It's weird I can't seem to link the sub-album directly but it's in my photobucket alphabetically under NJ Cons - East Coast Comic Con - ECCC 2019: https://s199.photobucket.com/user/bro117/library/NJ Cons/East Coast Comic Con/ECCC 2019?page=1 ** DONATION TOTALS FOR THE WEEKEND IN THE SUNDAY MR **

Spent all day putting together DH prizes! Had to run to the Dollar Store for some bags and ticket buckets, then create about 50 more badges (we ran a little low from last few times when people don't return them hahaha!), then off to Staples for a few dozen laynards It's easy and cheaper to just print them out, laminate them, punch a hole and add on the laynard but definitely takes a few hours for 50 of them lmao! We have 12 prizes, one is a poster donated by a cosplay buddy of Jimbo's. We'll run the DH from 11am - 1:00pm, then do the prize drawing at 1:30pm. I won't be able to get there until right around 11am, so as soon as I get in I'll start setting things up ... if you guys can maybe sort out two tables somewhere that we can put the prizes on and have them ready it'd be helpful. Even if we have to move or take down on of the backdrops for the two hours it's fine.

SECOND UPDATE: Brian is in touch with a guy offering up a limited addition poster to raffle off, we're going to add it as the "grand prize" of our Droid Hunt. We've decided to have all donations for this weekend go to the Peter Mayhew Foundation. We think the timing is perfect and applicable. We have Heroes and Villains Fan Fest coming in June, that gives us some time to put together something for Sue. I want to have the donations go to the American Cancer Society, but want to prepare some donation poster with something that can explain both her and Rick's love for our group and why we're doing it. That being said, is anyone able to quickly mock up some donation propaganda flyers/posters for the Peter Mayhew Foundation? If you can, either post them here or shoot me a link via email and I'll print and laminate them for Sat/Sun (Friday can just be printed out by someone going). Also, we are working out the panel details. Taylor will be the "moderator" and we need other members available about a half hour prior to the start to mingle outside the entrance of the panel location to draw attention and generate excitement for it. Said members can enter and hang out for the panel, but we'll have them in the back (not up front by the guests).

ANOTHER GENTLE REMINDER.... Every major con, especially in other states, has a hard cap on comped passes. None are ever past 20, and most are slightly less. Usually they won't even take members on the list if they pass the allotted number ECCC has been really good to us, but each year we grow larger and have more and more members wanting to attend. That is great, but at this point we can't rely on swapping out passes to get everyone in for free. We have to respect the con and it's organizers, and last thing we want to do is take advantage and lose our good working relationship. We're safe at 15, and probably still good at squeezing in 20. After that though we really need members to purchase their own admission. Here's the thing though, we list people according to them posting interest. But some members might post on Saturday only, while others sign up multiple days. If someone signed up and at that time Friday or Sunday was still open, but Saturday was already past 20 we can't just bump them up on the list for Saturday. Some guys might be safe on one day but have to pay on Saturday. We also can't take someone who signed up late in the thread and is past 20 but arriving first thing in the morning before others and allow them to get the pass because they were there first. We really have to start sticking to this and really have to put a cap and guys past the 20 mark will need to purchase admission. Again, they give a great discount to first responders (PD, FD, EMT, Military) so if anyone has to pay we have enough members in that field that can get passes discounted. Me and Pop Pop both qualify if someone wants us to buy them one. I hate doing this, but again, we HAVE to be professional and respect the limits they set. Yes, we offer a lot to the show, but we in turn get something out of it as well. On a con note, I'm putting together a Droid Hunt for Saturday (and possibly Sunday). We'll utilize members who are already signed up in the slots. I'll be tweaking the list and make everything clear, I'm expecting to maybe do it from 11am to 12:30pm with the drawing at 12:45pm.

Also, I have the day off (they switched my 3-11 with another day I have a training class) so after the parade if you guys wanna get lunch we'll sort it out And / or come back to my house which is 3 miles away for armor building and chill hahahaha!

MISSION REPORT TYPE OF FUNCTION: East Coast Comic Con! WHAT WAS OUR ROLE AT THE FUNCTION: Generate excitement for the event, promote the 501st and NER, raise money for the Peter Mayhew Foundation. DATE/LOCATION: Sunday, May 19, 2019 Meadowlands Exposition Center 355 Plaza Drive , Secaucus, NJ 07094 MEMBERS ATTENDING: 1) Bro - RFT / TS 2) Pop Pop - Obi-Wan 3) Tober Dave - ST 4) Michael - TK 5) Carla - DZ 6) Sam - ID 7) Taylor - RFT / ID ๐Ÿ˜Ž Albert - CC 9) Sebastian - TD 10) Elena - Leia / TI Reserve 11) BSP Brian - TK 12) Jay - Fett 13) Jaime - ST 14) BT Brian - IN 15) Dawn - spotter 16) Sean - TK THE GOOD: The last day was a lot of fun and we still had steady interest through the troop. We had a great selection of costumes and everyone put in work to make the day a success. Over the weekend our members forged a great relationship with the Star Wars guests. From Taylor moderating the panel to all the pleasant conversations our members had with them, we also presented them with NER T-shirts and patches. They seemed generally impressed and happy to be there, Gerald Home especially went out of his way to interact and chat with us every time we passed his table. He also gave out lots of "exclusive" Legion trading cards hahaha, he told us on Saturday that the RL ones were made by the French Garrison and we needed to brag that we were the first to receive them, and the 501st ones were made by the German Garrison also as a gift to him from them. THE BAD: Nothing bad to report, I think we all had fun and everything went smoothly. THE CHARITY TOTALS: For ease of tracking, we'll place the totals here. In honor of Peter Mayhew, we dedicated all donations to his foundation this weekend. Taylor was kind enough to put together some great donation signs for us. Friday - While it was a slow weekday, we did manage to snag $6. Saturday - We did Droid Hunt and had some enthusiastic "can rattlers" and were able to raise $132.14. Sunday - A little slower all around and not as many members as Saturday but we were able to raise $40. Grand total = $178.14 THE PHOTOS: I only grabbed a few, sorry, but here one. It's weird I can't seem to link the sub-album directly but it's in my photobucket alphabetically under NJ Cons - East Coast Comic Con - ECCC 2019: https://s199.photobucket.com/user/bro117/library/NJ Cons/East Coast Comic Con/ECCC 2019?page=1

Hi Bro, I am bringing my TD armor instead. I am also bringing two cases of water and a tub. I will pick up some ice on the way down.

REMEMBER - easiest way to get to our staging area is Main Street then go east onto Bradley Blvd. There might be Special Officers there with cones and the road shut down, let them know you are part of the parade and meeting Sgt. Browning in the 300 block. They are already aware and were advised to let you all through

I was there working the table and shaking the can (no, not that one!) for a few hours after the morning troop in Bloomfield. We also gave out Albert's 25 and Sean's 100 that day!

PLEASE MAKE SURE TO ADHERE TO YOUR GUYS TABLE TIMES THIS WEEKEND. I DID MY BEST TO SPREAD IT OUT SO WE HAVE COVERAGE AT OPTIMAL TIMES. Obviously you can put in more time if you'd like, we always appreciate it, just make sure that when you are there you are engaging the crowd and not so much "in house" conversations thanks!!

I just want to say I CAN'T WAIT TO SEE EVERYONE THIS WEEKEND, had SOOOO much fun last year! As I mentioned previously, I plan to be trooping all days, start to finish. I will sneak away for an hour or so each day to do quick photoshoots but I'll make sure to leave the booth when there are enough people on shift. The only panel I do want to attend is Return of the Jedi Panel (i think that's what it was) Friday at 6:30 pm, I saw some people signed up to assist, I'm more than happy to lend a hand if needed.

Also, I love the ECCC guys but they are (and have always been) very sporadic with responses hahaha! I finally got a little bit more info on the panel : So we have the panel set! FRIDAY MAY 17TH: STAR WARS RETURN OF THE JEDI 6:30PM - 7:30PM : CONFERENCE ROOM 2 Mark Dodson (Salacious B. Crum), Gerald Home ( Squidhead), and Simon Williamson (Max Rebo) talk about their time on the sets of Star Wars, one of the highest-grossing, most beloved film franchises in history. Moderated by the 501st Legion. I'm still trying to get them to let me know if we should have an itinerary or outline or something prepared, lol, but who knows if they'll get back to me in time. Taylor, as of now if you don't mind being the lead on the moderation I'll touch base with you with any new details. I'm not sure I can make it up on Friday now, Pop Pop has a small procedure which puts him out and I want to be here with Nicole (nothing major, just checking on something). Worst case we can touch base with the actors on Friday personally and see what they have planned or sort it out then.

We are always fine with out weapons as long as we're at our table set up. Sometimes they ask us to leave them behind if we walk around the con, but normally we don't get hassled anyway I'll probably eat on Saturday as I'll have the girls and Pop Pop with me, but that'll probably be around 5-6pm we can't stay until the end. Sure, not a problem! No worries, happy to see us staff another event Yes, you can collect badges in RL gear with us, that isn't a problem at all!
  19. 2 points
Awesome! Sounds great, Friday and Sunday are still within our cap so you are good. I threw you in some spots, if you want to adjust it's fine just let me know. And they don't have to be consecutive if you (or anyone) want to split them up. I can put you in Saturday, no worries.

I'LL TRY TO GET US SOME MORE TOMORROW WHEN I ARRIVE, BUT LIKE WE INITIALLY STATED WE CAN'T REALLY GUARANTEE PAST 15 BUT WE SHOULD BE ABLE TO SQUEAK IN ABOUT 20. ANYTHING OVER 20 WILL HAVE TO PURCHASE, AND IF YOU ARE PAST 15 AND WE RUN INTO AN ISSUE YOU'LL ALSO HAVE TO PURCHASE. REMINDER, IT DOESN'T MATTER WHAT TIME YOU ARRIVE, IT MATTERS WHERE ON THE SIGN UP LIST YOU ARE (FOR FAIRNESS). THE LIST HAS SHIFTED HERE AND THERE BUT AS OF NOW IT IS CURRENT. IF YOU ARE ON THE PASS LIST (FIRST 15) WHEN YOU ARRIVE LET THEM KNOW YOU ARE AN EXHIBITOR AND WITH THE 501ST LEGION. THEY WILL EITHER DIRECT YOU TO YOUR TABLE OR YOU'LL HAVE TO HAVE SOMEONE BRING A BADGE TO YOU. WHOEVER HAS THEM AT THE END OF TODAY, PLEASE POST HERE OR SEND ME A MESSAGE SO I CAN PASS IT ON FOR TOMORROW, THANKS!

Bro, Would it be possible for me to collect droid tickets as Rey like at Celebration? Or do I need to switch to Mara to do it? I was going to start out as Rey and possibly switch to Mara in the afternoon, but will adjust my costume schedule if needed.

Hey Bro, since we seem to have plenty of people for Sunday, I am going to back out to do the Rockaway Event which only has 4 members (including me) signed up for it. I usually would not back out of a troop for another, but this is the event that got rescheduled from the 5th because of the weather, I had already signed up for it as well and could definitely use another volunteer for the afternoon. Hope that is ok.
